The Job of a Scheduler in Boca Raton, FL

The Scheduling Coordinator -1 is responsible for delivering exceptional customer service in a timely manner and engaging with clients to ensure accurate scheduling of services. The role involves communicating and documenting information with a diverse customer base, including Insurance Carriers, Provider Offices, Attorney Offices, and Injured Workers (Claimant).

Duties and Responsibilities

  • Providing quality Customer Service from the initial service request until the project is completed
  • Adhering to client protocols and jurisdictional regulations while ensuring proper documentation
  • Ensuring accurate entry of all referrals and creation of cases
  • Scheduling exams with physician offices and entering dates and times into the office operating system
  • Coordinating appointment scheduling with clients, physicians, and claimants/attorneys, and handling changes, no-shows, and cancellations
  • Preparing and sending exam notification letters, cancellation letters, and no-show letters on a daily basis
  • Promptly initiating and following up on pre-payment to providers when necessary
  • Arranging ancillary services such as transportation/translation as requested, following customer protocols
  • Performing appointment reminder calls and follow-up calls as required
  • Contacting relevant agencies or persons to verify information
  • Efficiently and effectively handling incoming and outgoing calls while meeting client standards and protocols
  • Managing a high volume of emails in a timely manner with accuracy
  • Immediately communicating any client concerns to the Supervisor
  • Operating company software and equipment
  • Entering alphabetic and numeric information into the system using a keyboard
  • Demonstrating strong organizational skills and meticulous attention to detail while multitasking
  • Communicating using correct English, spelling, grammar, and punctuation
  • Understanding and following oral and written instructions while adhering to departmental routines
  • Proficiency in imaging/scanning documents
  • Maintaining confidentiality and discretion
  • Being a productive team member and collaborating effectively
  • Interacting professionally with colleagues and clients
  • Adhering to guidelines related to HIPAA, Conflict of Interest, and Ethics
  • Familiarity with current URAC standards applicable to job functions

Qualifications

  • High School Diploma or equivalent
  • Proficiency in the MS Office Suite
  • Excellent verbal and written communication skills
  • Effective organization and prioritization abilities
  • Ability to accept and apply constructive feedback
